[General Info for Sport & Society Groups](https://ask.lusu.co.uk/sport-society-groups?hsLang=en-gb#general-info-for-sport-society-groups) # Driver Registration & Minibus Use The Students' Union has two minibuses available for Sport & Society Groups to use. ### Driver Registration Firstly, any student wishing to drive a minibus or their own vehicle for any group activity, must [register as a driver](https://campus.hellorubric.com/submit_form?fid=7834) with the Students' Union.  ### Minibus Assessment/Minibus Hire Once registered, you can then complete the [Minibus Assessment](https://campus.hellorubric.com/submit_form?fid=8086) form. There is a cost of £5 per assessment. If you pass, you will be eligible for [Minibus Hire](https://portal.hellorubric.com/submit_form?fid=8039). There will be a cost of £40 per day per minibus. If your driver is not registered with the Students' Union and has not passed our Minibus Assessment, we will cancel your Minibus Hire.  For both Assessment and Hire, you will receive a submission email followed by an approval or rejection email for your request. Approval/rejection for your request is not immediate and you should leave at least 7 days to hear back.  **Minibus Assessment Approval** **-** You should meet the Assessor (Ric Simon) at Bailrigg House, located off North West Drive. You will receive an Outlook Calendar invitation for your Minibus Assessment. Please accept the invitation to confirm attendance for your Minibus Assessment. You should also email Ric Simon ([r.simon@lancaster.ac.uk](mailto:r.simon@lancaster.ac.uk)) 24 hours prior to your Minibus Assessment to confirm attendance. Attached to the email will be some Minibus Assessment documents. Please familiarise yourself with these prior to your Minibus Assessment. You will also receive a payment request for the cost of your Minibus Assessment. **Minibus Hire Approval -** You will receive an Outlook Calendar invitation for your Minibus Hire. Please accept to confirm you have received this. Keys can be collected on the day your Minibus Hire starts from the Security Lodge, located on Bowland Avenue South. You will be required to fill out a form upon collection as well as when dropping off the keys. Please take your student ID when collecting the key. Your Minibus will be behind George Fox, on the raised car park. Attached to the Outlook Calendar Invitation will be your Minibus registration number as well as terms and conditions of hire. You should familiarise yourself with this prior to Minibus Hire. Please ensure the Minibus is filled with fuel at the end of your Minibus Hire. We strongly recommend t Please read the below: - All drivers need to be registered before any Minibus Assessment will be confirmed.  - There will be a cost of £5 per assessment. - Student groups that use minibuses for SU funded competition will have a number of assessments allocated at no cost. All drivers need to have completed a Minibus Assessment to be eligible for Minibus Use. - Booking priority will be given to SU funded competition. - There will be a cost of £40 per day per minibus. - For SU funded competition, there will be no cost to the Student Group. - The Student Group is responsible for fuel payment. - For SU funded competition, fuel will be reimbursed at 55p/mile and is calculated using the shortest return route from Lancaster University Campus to the venue. We encourage all groups to read and familiarise themselves with this before they book. [mailto:lususport@lancaster.ac.uk,](mailto:lususport@lancaster.ac.uk,) ### Key Collecting/Drop Off Process Once you have received your confirmation email, you will be able to collect the keys from the Security Lodge on the day of your Minibus Hire.  To collect the keys, you must sign out the keys and provide your Student ID and University email to the Security Staff member.  It is the responsibility of the group to ensure that the vehicle is fully fuelled before it is returned. If it is not, you will be invoiced for a full tank. You should return the keys to the Security Lodge at the end of your Minibus Use. You will need to sign in the keys upon its return. For out of hours returns, leave the keys in the box outside of security and please email lusu.welcomedesk@lancaster.ac.uk to confirm you have dropped the minibus and keys off.  At the start and end of use, you must take pictures of the inside and outside of the minibus.
