Minibus Use
The Students' Union has two minibuses available for Sport & Society Groups to use.
Hiring a Minibus
Firstly, any person wishing to drive a minibus (or their own vehicle) for any group activity, must register as a driver with the Students' Union. This can be done through [NEW FORM FOR 26/27]
At the end of the Driver Registration section, you will be asked if you would like to take a Minibus Assessment. If so, please tick yes. This will take you through to the booking process for a Minibus Assessment. You should selected your preferred Minibus Assessment date and time. If your requested Minibus Assessment is available, you will receive an Outlook Calendar invite and an email confirmation with all relevant information. There will be a cost of £5 per assessment.
Should your group wish to hire a minibus from the Students' Union, you should complete the Minibus Use Microsoft Form. If your requested date is available, you will receive an Outlook Calendar invite and an email confirmation with all relevant information. There will be a cost of £40 per day per minibus of your Minibus Hire. If your driver is not registered with the Students' Union and has not passed our Minibus Assessment, we will cancel your Minibus Hire. Note: If you wish to hire both minibuses at the same time, you must complete the Form twice.

- All drivers need to be registered before any booking will be confirmed.

- There will be a cost of £5 per assessment.
- Student groups that use minibuses for SU funded competition will have a number of assessments allocated at no cost. If you are unsure if you fall into this category, please email lususport@lancaster.ac.uk to ask. All drivers need to have completed a minibus assessment to be eligible to drive the vehicles. Bookings for this can be made HERE.
- Booking priority will be given to SU funded competition.
- There will be a cost of £40 per day per minibus of your Minibus Use.
- For SU funded competition, there will be no cost to your group.
- Student Groups are responsible for fuel payment.
- For SU funded competition, fuel will be reimbursed at 55p/mile and is calculated using the shortest return route from Lancaster University Campus to the venue.

If a minibus is available, you will receive a confirmation email from lususport@lancaster.ac.uk.
Key Collecting/Drop Off Process
Once you have received your confirmation email, you will be able to collect the keys from the Security Lodge on the day of your Minibus Hire.
To collect the keys, you must fill out the form and provide your student ID and university email to the security staff member.
It is the responsibility of the group to ensure that the vehicle is fully fuelled before it is returned. If it is not, you will be invoiced for a full tank.
You should return the keys to the Security Lodge at the end of your Minibus Hire.
The same form needs to be filled out upon return for your key drop off to be logged. Here you can log any incidents or information regarding your trip.
